It’s not hard to do, it just a bit of self-discipline, lots of hard work, and a positive mindset shift.

1. They establish non-negotiable habits.

Highly organized people make sure they achieve as many non-negotiable habits as possible every single day. They stick to their habits no matter how busy life gets. Of course, we’re all human and it’s completely normal to miss a few times here and there.

I’m someone who set non-negotiable habits for myself like waking up at 8am everyday and going to bed between 11pm-12am.

Action plan for you: Write down 3 habits you want to accomplish every day. It can be going to bed at a certain time, working out, or even a work-related habit.

2. They swear by their to-do lists.

I’d bet my money that the majority of busy people cannot remember everything they need to do without a to-do list. So organized people make sure to start their day off with writing everything they need to get accomplished for the day.

Insanely type-A planners like myself go even a step further by planning out what we need to get done hour by hour so no time gets wasted.

I like to use a combination of a digital calendar like Google Calendar for list of all my meetings and recurring events. I also use my digital iPad planner to write out all my daily tasks and time block hour by hour.

  • If you’re insanely organized: use a digital planner to track your to-do’s hour by hour
  • If you like a simple interface: use the Notes App (for iPhone only)

3. They write down clear, actionable goals.

Highly organized people don’t just know what they’re doing for the day but they also know how the tasks they’re doing are linked to a specific goal they want to achieve.

A study by Harvard’s MBA program found that when a goal is written down, the likelihood of achieving that goal increases by 42%. So it’s a no-brainer for insanely organized people to write it down.

I like to use my digital iPad planner template to write down the exact goals for the week, month, and year.

4. They use a scheduling tool for time management.

Time management is HUGE for highly organized people! They track their time to make sure they’re on track to finish what they’ve set out to accomplish for the day.

I like to do this through a method called time blocking. Essentially, I write down what I want to accomplish during certain parts of the day. A typical schedule for me would be:

  • 8:00-8:45AM: wake up, morning routine, and breakfast
  • 8:45-9:30AM: write 1 blog post
  • 9:30AM-5PM: 9-5 job
  • 5PM-6:30PM: finish the blog post
  • 6:30-8PM: dinner
  • 8-10:30PM: write blog post #2
  • 10:30-11PM: work planning

5. They know what tasks to prioritize.

There are only so many hours in a day and the to-do list is always too long. Highly organized people know what tasks to prioritize and what can be done later.

That way, they’re able to focus all their time and energy on tasks that will get them to their goal faster.

6. They maintain a clean and tidy environment.

A cluttered environment is incredibly hard to work in. You constantly get distracted and you just naturally become more unproductive.

I like to make it a habit to clean and organize my desk right after I end my workday so when I return to it the next morning, it’s all neat and tidy. It’s a small mood booster!

7. They know when to say no.

This has to do with knowing priorities. These people know taking on a huge workload and still staying organized is next to impossible.

Sometimes, it can be hard to say no to things because we can’t help but imagine how that opportunity can impact us. But if you feel a gut feeling that you’re supposed to say no, then it’s probably right.

8. They are flexible when things don’t go according to plan.

No matter how much you plan, things don’t always go according to plan. Organized people know this. So when times like this happen, they know to be flexible and adjust. Maybe you’ll need to spend a few less hours on another task just to makeup time for a more important one.

9. They limit distractions to be highly productive.

Distractions are the number one thing that keeps us from becoming organized. Highly organized people are aware of this and try everything. in their power to limit them.

This means they turn on do not disturb on their phone when doing deep work, use a chrome extension to block off other unnecessary tabs, and use the pomodoro time method.

10. They take regular breaks to rest their mind.

No one can be 100% productive the entire day. So organized people know to take regular breaks throughout the day to avoid getting burnt out. Steady and slow wins the race. In order to go far, they know to have work life balance.

11. They revisit their goals often.

Goals are what keeps us moving forward. If we’re just mindlessly doing tasks everyday, it’s hard to stay organized and productive.

So as someone who is highly organized, I like to revisit my goals frequently to make sure I’m on the right track. I usually do this when I’m feeling a little discouraged or unmotivated.
